What do you actually pay over three years?

The list price of pre-accounting software is only part of the total. Per-user pricing, per-document credits and forced plan upgrades when record limits are exceeded can push the three-year total well above the sticker price. This calculator takes three inputs — user count, annual document volume and number of companies — and breaks the total down line by line.

What makes up the total

Per-user pricing

Most subscription models scale price with user count. As the finance team grows — or when you want to give warehouse or field staff read-only access — the cost grows with it. In a single-installation model user count does not change the price; hardware sets the limit.

Per-document credits

E-invoice and e-archive documents are usually billed as credits, and the price for the very same government document can differ significantly between vendors. At 6,000 documents a year the credit line alone can exceed the subscription.

Record limits and plan upgrades

Plans are typically capped by number of contacts, products or documents. Exceeding the cap moves you to the next tier — an unplanned increase that usually lands mid-year.

A separate subscription per company

If you file for more than one tax entity, subscription models usually charge per entity. For a business with two companies this line can double the total.
